About the Application
How do I get an application form?
As part of our enrolment process, we want you to visit with us before applying. Choosing the right school for your child is a vital, important decision and we want to give you an opportunity to get to know our community and understand what Christian education means for your family. It also blesses us with the opportunity to meet you.
You can visit with us by booking a tour or registering for an upcoming Open Day. Following your visit, we will send you a personal link to our online application form. If you decide Heathdale feels like the right place for your family, we encourage you to apply.
How long does it take to fill out an application?
Please allow up to 30 minutes to complete an enrolment application.

What do I need to fill out the Application?
What documents do I need before commencing an application?
- Copy of Birth Certificate (translated into English, if applicable)
- A Letter of Reference from someone in a professional capacity (new family applications)
What is the Letter of Reference?
All new applications must be supported by a family reference (sibling applications excluded).
The Letter of Reference:
- Must be from someone in a professional capacity who is not related to the family.
- Must be written on an official letterhead and signed by the referee.
- Can be any length but does not need to be more than a few sentences long.
- Must include how long the person has known you, what the relationship is and that they can attest that your family is of good character.
Referees can include:
- Senior Pastor / Church Leader / Deacon / Sunday School leader / Senior Leadership (at your family’s place of worship)
- Family Doctor, Dentist or Accountant
- Your child’s Childcare or Kindergarten Teacher
What other documents might I need to supply?
- Copy of Citizenship Certificate for Australian citizens born overseas
- Copy of current passport for New Zealand citizens only
- Copy of applicant’s current VEVO notice for permanent and temporary Australian residents
- Copy of current Immunisation history from Medicare (Kindergarten to Year 6 applicants)
- Copy of most current school reports (Year 1 to 12 applicants)
- Copy of most current NAPLAN results (Year 4 to 12 applicants)
- Copy of any professional reports relating to Educational, Medical, Communication or Behavioural issues or Special Support required
Why do you require school reports and information about specialist support?
Supplying up-to-date information with your child’s application helps us understand how we can nurture each child's God-given potential.
As a College, we enrol many students with varying learning needs - from additional support to extension. While some students with high-level needs may be best served in a specialist school environment, our College does not select students based on intellectual capacity or academic testing.
We want to partner with you on your child's learning journey. Disclosing any and all additional support your child receives in a professional capacity allows us to involve our Learning Enhancement Team in the enrolment process so they can facilitate any additional support or extension requirements from the first day your child starts at Heathdale.
How do I upload documents?
You will need to have the documents as a soft copy in one of the following formats - PDF, JPEG, PNG, Word Doc - stored on the device you are completing the application on.
Within the application form, there is a section to upload the required forms. You can either drag and drop files into each corresponding box or select ‘Upload a file’ within the corresponding box for the document you wish to upload. This will take you to the files on your device. Select the file you wish to upload.

Signing the Application Form
What does it mean if I sign the application agreement?
Signing the application agreement means that you as a parent/guardian acknowledge:
- Have read and understood the information in the Enrolment Policy;
- Understand that the application fee is non-refundable;
- Understand that the College requires any reports in relation to a diagnosed condition or disability in relation to the applicant;
- Agree to be bound by the Heathdale Christian College Enrolment Terms & Conditions, Parent Code of Conduct and Student Code of Conduct, if the child is accepted for enrolment;
- Have read and understand the accounts information in relation to related fees and charges at Heathdale Christian College;
- Will be joint and severally liable for fees at the College if the applicant accepts an offer of enrolment; and
- Have provided information in this application form, that is true and correct.
Who needs to sign the application form?
Applications must be signed by both parents or the child's legal guardians, unless a court order or other official document is provided to the College which states otherwise. Please add guardians as required.
Do I have to put all of my child’s guardian’s information on the application?
All legal guardians are required to be included on your child’s application unless there are existing custodial agreements or court orders. You will need to supply a copy of any custodial agreements or courts orders currently in place.
What if I don't currently live with the child's other parent/legal guardian?
Important: Please be aware, the other parent/legal guardian will be able to view and download all information provided before signing. If there is an issue with this arrangement, please do not input contact details into the other guardian's information and supply a statement outlining your circumstances so we can assist you.
In the event both parents/guardians are unable to sign the application form at the same time, complete the application with both guardian details but leave the unavailable parent/guardian signature blank. Once the application is submitted, a request will be emailed to the unavailable parent/guardian to complete the signature based on the information you have inputted. You will both receive a notification with the form has been completed by both parties and submitted.
What if I'm unable to or it's unsafe for me to contact the other parent/guardian?
That's okay, we want to assist you through this process.
If you're unable to or it's unsafe for you to contact the other parent/guardian, please fill out the application form with only one guardian and supply a statement of explanation, court order or other official document so we can help navigate your particular situation.

Paper or PDF-based Applications
Do I need to resubmit an online application form if I previously used a paper or PDF-based application form?
If you have already submitted an application using our previous application pack, you do not need to resubmit an application.
I have already received a paper or PDF copy of the application pack, can I still use this instead of the online application form?
If you have not already submitted an application for your child using our previous form, please use our new online application form you have been provided. If you don't already have a link to the form, please email enrol@heathdale.vic.edu.au
Can I print off the pages and hand the application in in-person?
No, we do not accept paper applications. If you are having difficulties with completing the online application, please contact our enrolments office on (03) 9749 1522 or enrol@heathdale.vic.edu.au and we will provide assistance.

Continuing or Submitting an Application
I can’t move to the next stage of the application or I cannot submit my application.
There are mandatory fields that need to be completed, these are noted by a red asterisk ‘*’. If you have not completed a field with an asterisk, you will not be able to move ahead to the next page of the application form.
If you are unsure which field you have left blank, please scroll up the page to find an empty field that is highlighted in red.
I started the application, but I can’t finish it, what do I do now?
If you are unable to complete your child’s application in one sitting, you are able to return to it at a later time. To continue your child’s application, return to the application form email and select ‘Begin your application’ this will take you to a page where you can select ‘Start Submission’ or ‘Continue submission’. Select ‘Continue submission’.
Enter the email address you originally supplied for your child’s application, this will provide you with a unique code to re-access the application and finalise. You can come back to the application multiple times, but you will be provided with a different access code after 48 hours.
I submitted an online application but need to amend some details.
Once an application is submitted, you are unable to make additional edits. Please contact our enrolments team on (03) 9749 1522 or enrol@heathdale.vic.edu.au to advise of adjustments to be made to your child’s application.
I have submitted the application, what happens now?
You will receive a confirmation email when you have successfully submitted your child’s application.
- For 2023 applications: Please allow up to three weeks for our enrolments team and senior leadership to process and review the application.
- For 2024 applications: Our 2024 enrolments process is currently underway with an aim to make first round offers to families by July 2023.
- For 2025+ applications: Our enrolments process commences the year prior to entry.
Can I pay the application fee by bank transfer?
No, application fees are to be paid though our secure online form with credit card information.
You will be unable to submit your child’s application without paying the $110 application through the payment portal. After submission of your child’s application, you will receive a receipt for the application fee paid.
I don’t know whether I have previously submitted an application.
